Many dental practices are more commonly finding that the greatest challenge is no longer in attracting new patients – mixed marketing techniques and positive word-of-mouth soon fill appointment slots. Rather, the more persistent issue involves the continuum of custom after the first visit, as many often end up a one-time patient after their dental issues are managed – accessing care intermittently rather than routinely.[i]
For practices, this is problematic both from a clinical and business perspective. Irregular dental appointments reduce continuity of care and preventive strategies, increasing a patient’s chances of avoidable complications and risks, whilst also creating instability for the practice’s schedule and financial planning. Over time, this makes it more difficult to manage care effectively, predict workload, and grow as a business with confidence and clarity.
The problem with reactive care
Dentistry is too often viewed by patients as a reactive service, even for those who might understand the concept and importance of preventive care – particularly when they have no immediate issues to deal with. Routine check-ups and dental hygiene visits are integral, yet they are regularly postponed or avoided entirely when time and cost are concerns.
Practices are not to blame for a patient’s lack of prioritising their oral health, with most clinicians strongly reiterating the importance of preventive care. However, recall systems should be strengthened to ensure regular visits and ensure that problems are detected and managed earlier on – with greater predictability.
Steps to improving retention
One of the simplest methods of improving patient retention is by ensuring that their next appointment is booked before they leave the practice. Instantly eliminating uncertainty, by encouraging the booking whilst the experience is still fresh, attendance becomes a natural default rather than something a patient must actively remember, consider, and decide upon later. The planned continuation of care is reassuring for both patients and practices – clinically and business-wise.
Furthermore, automated reminder systems are an understated, highly effective method of ensuring patients stay on track with appointments. Oftentimes, patients simply forget their check-up appointment, with other aspects of life understandably taking priority. Well-timed reminders – through text, email, or mail – can significantly reduce no-shows, maintaining practice momentum, protecting valuable clinical time, and reducing administrative burden.
Another factor enhancing patient retention is better accessibility to appointments. Offering appointment availability outside of the regular 9am-5pm hours can be extremely beneficial for patients with little time to fit in non-urgent appointments – particularly when booking immediately after an appointment – where patients are unsure of their upcoming diaries in many months’ times.
Membership plans
Membership plans are a great option that align with both the payment priorities and behaviours of many patients. Offering an opportunity to spread the cost of routine care into more regular and manageable payments removes the financial reasoning for inconsistent attendance. This way, patients no longer automatically associate dental visits with hefty fees, whilst practices can build relationships and rapport, delivering necessary, routine, and preventive care.
Clinically, more regular attendance means greater maintenance of oral health. Patients who attend more regularly are less likely to present with more advanced problems that inevitably require complex intervention in the future.[ii] Business-wise, predictability and consistency are enhanced significantly with the incorporation of dental plans – regarding both income and scheduling.
Intentional retention
IndepenDent Care Plans (ICP) assists practices that are seeking a more proactive approach to the continuum of patient care. The team will work with practices to develop and deliver bespoke practice-branded dental plans that support their philosophy and intention – reflecting their patient base, and goals for the future. ICP helps with the confident integration of these plans into practice and patient journey, facilitating a more consistent approach to business. With dental, children, and dental hygiene plans, your practice could see a huge improvement in patient retention, building growth and stability.
Consistent care
Transforming intermittent visits into consistent care requires a well-thought-out approach – combining appropriate accessibility, timely appointment reminders, and plans that put the patient in financial control of their regular care.
Practices that thrive in these areas will inevitably experience more well-managed diaries, stabler, predictable income, and greater rapport with patients that leads to better results – both clinically and for the business. When regular attendance becomes a second nature rather than an expensive chore, patient retention no longer poses as a goal, but a tangible strategy.
